Attendee User pricing for Smart Meetings with 3+ attendees

Smart Meetings with 3 or more attendees are billed on a unit called Attendee Users (AUs). This doc explains how it all works.

Smart Meetings with 3+ attendees are free to use through June 30th. Once that period ends, they will be priced using Attendee Users as described below.

Smart 1:1 Meetings (i.e., Smart Meetings with 2 people) are included with your subscription depending on what Reclaim plan you and your team are on. If you were previously using a feature known as "Smart 1:1s", your Smart Meetings with 2 people replace that functionality and the pricing is exactly the same as it was prior to the Smart Meetings launch.

However, Smart Meetings with 3 or more attendees -- where the attendees aren't already on a paid Reclaim seat -- are priced separately using a metric known as Attendee Users.

This document will cover what Attendee Users are, how they work with your existing subscription and plan, as well as how they are purchased and consumed.

What are Attendee Users?

An Attendee User is an attendee of a Smart Meeting where:

  • They are an attendee on a Smart Meeting with 3 or more total attendees (including the organizer); and

  • They do not have a paid Reclaim seat already.

For example, if you had a 3-person meeting where all attendees excluding the organizer were not on paid Reclaim seats, it would be counted as 2 Attendee Users.

How are Attendee Users priced?

Attendee Users and Seats are coupled together. That means that if your team needs more Attendee Users, you purchase them by buying more paid seats, which include Attendee Users. In other words, Attendee Users aren't an additional cost on top of a paid seat, they're just part of buying another seat for your team.

This is great for teams where you might have a handful of managers who schedule all the meetings, but where you still want to have paid seats for users who mostly want to use Reclaim for things like Habits or Tasks.

A limited number of Attendee Users are included with each Starter, Business, or Enterprise seat on a team. Lite and Legacy Plans do not have any Attendee Users included as part of their plan.

How are Attendee Users counted and consumed?

Attendee Users are shared across the team. So for example, if you're on a team with 50 Business users, that team has a total of 300 Attendee Users that can be consumed by any number of teammates.

Attendee Users are counted as unique across Smart Meetings on a Reclaim team. In other words: if the same Attendee User is an attendee on two separate Smart Meetings in the same team, they are only counted once.

However, if that Attendee User is listed as an attendee on two separate Smart Meetings in two different Reclaim teams, they would be counted twice -- once on each team. So it's a better deal for everyone if you're all in the same Reclaim team!

How does my team get charged for Attendee Users?

Through June 30th, 2024, your team will not be charged for Attendee Users or for any Smart Meeting with 3+ attendees. We are actively working on building capabilities to meter and charge for Attendee Users, and will release more details as soon as possible.

That said, our intention is not to automatically bill accounts for Attendee Users at any time. Instead, we will likely take a similar approach to how we have historically handled seat overages, which is to limit accounts after a period of time.
