The AI Assistant is a chat panel in your Planner sidebar. Ask it to schedule meetings or events, find time with co-workers, resolve conflicts in your schedule, or even ask how to use Reclaim.
It never changes your calendar on its own. Everything it proposes waits for your approval in Preview Mode.
Turning chat on
Chat is a team setting. An admin turns it on for the team under Team settings. If your Admin hasn't enabled chat, you will see "Reclaim Chat is disabled. Contact your team admin to enable AI-powered chat assistance" with a button to help you find your team admin.
Your daily calendar review
Every night, Reclaim looks across your upcoming week and finds the things that need attention:
Conflicting events
Invitations you haven't responded to
Meetings without a video conferencing link
Attendees who aren't available for a meeting you organized
In the morning you'll get a digest by email, Slack, or both. Opening it takes you into the Chat Assistant with fixes already prepared, so you can work through the whole list in one pass. You don't have to wait for the digest. You can run the review at any time by clicking "Recommendations" in the Chat panel.
Reviewing what it suggests
Suggestions appear on your calendar in Preview Mode, which you can think of as a sandbox, events are "staged" but nothing is live yet. For each one, in the Chat panel you can:
Accept it
Discard it and keep the rest
Reply in chat to ask for something different
When you're happy, you'll click on "Review & Apply Changes" which will open a pop-up with one final review of all the changes about to be made to your calendar and schedule. You'll have another chance to review, accept, or discard them. Only then does Reclaim update your calendar and notify attendees.
You can also keep changes pending by clicking 'cancel' Or toggling off preview mode.
Checking a different week
The daily review covers the rest of the current week and the start of the next. To look further ahead, go to the week you want in the Planner and run the review again, you'll get suggestions for whatever you're viewing.
Memories: Teaching chat your preferences & making chat a better personal assistant.
The Assistant remembers instructions you give it. These are called memories, and they shape every suggestion it makes from then on.
Useful examples:
"Don't schedule anything before 9am"
"It's fine to reschedule my recurring team sync"
"Always suggest accepting invitations from my manager"
"Never decline a meeting with our CEO"
In the chat: type your instruction, e.g. "always keep Friday afternoons free." You can view and delete your memories at any time by clicking on the bookmark icon in the Chat box.
Memories guide suggestions: they don't act on their own. A memory saying "always accept invitations from my manager" means the Assistant will recommend accepting them. It won't accept them silently on your behalf.
Referring to people by role needs your organization's data. OR you can simply use their name or a persons email in the memory. Memories like "my manager" or "my direct reports" only work when your company provisions Reclaim with its org structure through SCIM.
Without that, Reclaim has no way to know who your manager is. If a role-based memory isn't having
any effect, name the person directly instead, "Always accept invitations from Priya."
