AI Assistant chat
The Schedule Assistant acts as your control center. It highlights what needs attention and suggests what to do next.
This might include conflicts, overloaded days, missing focus time, skipped routines, or meetings that need details like agendas or links. Instead of manually auditing your calendar, you’re guided toward the highest-impact fixes.
You can also interact with Reclaim using natural language, for example:
“Help me get my week back on track”
“Cancel my meetings today”
“What should I work on next?”
“Create an agenda for this meeting”
Planner & Preview Mode
Reclaim includes a full calendar experience where you can view and manage your schedule. What makes it different is the ability to preview changes before applying them.
Preview Mode is a new experience, offering a calendar sandbox that lets you safely test changes, understand what will move, and apply updates only when you’re ready. You can reorganize your day, resolve conflicts, or create space for focus time without immediately impacting others.

Intelligent agents continuously optimize your calendar based on your preferences.

Tasks, policies, & team insights
Reclaim doesn’t just manage meetings, it helps align your time with your work and goals.
Tasks and focus work
During focus time, Reclaim can suggest what to work on based on your tasks, priorities, deadlines, and calendar context. With the new Getting Things Done (GTD) mode, Reclaim continuously analyzes your schedule and connected tools like Jira, Asana, ClickUp, Todoist, Google Tasks, and Notion to surface the most relevant work for the moment.
Instead of just blocking time, Reclaim helps you make progress by recommending tasks, nudging you toward deep work, and adapting when priorities or energy levels change.
You can even interact with the assistant conversationally — for example, asking for something lighter to work on if you’re not in the mood for a specific task.
Policies and preferences
Policies define how your schedule should behave. For example:
How much focus time you want each week
Which meetings take priority
When meetings should happen
How much buffer time you need
Reclaim uses these to guide recommendations and automation — and can suggest improvements over time.
Team visibility and structure
For teams, Reclaim provides a way to set expectations without rigid enforcement.
Managers can understand how time is spent across meetings and focus work, see where schedules are overloaded, and track whether team norms (like focus time goals or meeting quality) are being followed.
Getting started with Reclaim 2.0
Getting started with Reclaim is designed to be quick and practical — you don’t need to configure everything upfront. Start by connecting your calendar and immediately exploring recommendations from your AI Assistant.
1. Connect your calendar
Create your Reclaim account and connect your Google Calendar or Outlook Calendar. If you’ve been approved for the 2.0 private beta, you will automatically onboard into the new experience.
2. Explore the AI Assistant
In the right side of your Planner, you’ll see your AI Assistant that’s designed to help you plan, optimize, and analyze your calendar.
The AI Assistant allows you to draft updates using “Preview Mode”, giving you human-in-the-loop approval before anything goes live. This protects you from preemptively spamming colleagues with scheduling changes or making unintended downstream changes you weren’t anticipating — keeping you always in control.
AI Chat
Use the AI Chat at the bottom of the right-side panel to ask anything you’d like about your calendar, and activate scheduling changes to help you Reclaim more time this week.
Here are some starter questions to explore:
Analyze my time this week
Find 30 minutes to meet with Bob this week
Clear the rest of my day and mark me as out sick
What task should I work on next
The AI Chat will walk you through scheduling options for review, and stage all of the changes in Preview Mode. Once you’re ready, click the Review & apply changes button to activate your updates.
AI Agents
Select the Agents card in the AI Assistant to explore calendar automation and meeting quality templates to continuously optimize across your workweek. You can also custom-design Agents via the AI Chat anytime, and review these automations in your Agents list.

Suggested Tasks
By syncing tasks from your existing tools, Reclaim can surface a centralized, prioritized list of work to focus on during your scheduled focus time.
You can connect task management platforms, including:

During a focus block, Reclaim can even recommend what to work on next based on deadlines, context, and your current schedule.
You can also create tasks directly from the AI chat and start a timer when you begin working. Reclaim will track that time and optionally log it to your calendar, helping you better understand how your time is spent across different activities.
Flagged issues
The assistant also highlights scheduling issues across your calendar (such as conflicts, overloaded days, or missing focus time) and provides quick ways to resolve them.
Over time, the assistant becomes the main place you check and manage your schedule, similar to an inbox for your time.
3. Scheduling Links
Reclaim’s AI-powered Scheduling Links allow you to offer 524% more open time slots than a standard Calendly-like link because they can surface availability over flexible lower-priority events on your calendar.

4. Insights
The Insights tab in the Planner helps you understand how your time is actually being spent, and where it may be out of alignment with your goals.
Instead of manually reviewing your calendar events, Insights aggregates your schedule into clear patterns so you can quickly spot what’s working and what’s not.
You can review trends across:
Meetings vs. focus time to understand how much time is spent collaborating vs. doing deep work
Workload distribution to identify overloaded days or uneven weeks
Scheduling patterns and habits such as meeting-heavy days, fragmented focus time, or missed routines
Reclaim can also surface higher-level signals, like how often your focus time is being interrupted or how frequently certain types of meetings are being rescheduled.
For teams, Insights provides a broader view across the organization.
This can help give context around questions like:
Are team members getting enough focus time?
Are meeting expectations being followed?
Where are calendars overloaded or inefficient?
This visibility makes it easier to adjust your schedule proactively, rather than reacting after your time is already overbooked.
5. Settings
Settings allow you to define how Reclaim should manage and optimize your schedule.
From the Settings page you can specify your preferences so Reclaim can make better recommendations and automate decisions more accurately over time.
You can configure preferences like:
Calendars: Connect and manage your calendars, control what counts toward your availability, and keep work and personal time in sync
Hours: Set your working, meeting, and personal hours to guide when Reclaim schedules time
Integrations: Connect task managers and other tools so Reclaim can bring your work into your calendar
Notifications: Choose how and when Reclaim notifies you about conflicts, recommendations, and updates
Account: Manage your profile, login, and account-level details
Team: Configure settings for your team and shared scheduling preferences (if applicable)
You don’t need to set everything upfront. Many users start with a few key preferences and refine them over time as they interact with recommendations. As you accept, modify, or ignore suggested changes, Reclaim can also learn from your behavior and improve how it supports your schedule.
6. Integrations and MCP

Reclaim supports MCP, which enables deeper integrations with popular AI tools so you can access, analyze, and take action on your schedule from outside of Reclaim.
With MCP, you can use AI to interact with your calendar using natural language — without needing to open Reclaim directly. This makes it easier to manage your time, get insights, and trigger scheduling actions from the tools you already use.
Common use cases include:
Pre-meeting prep – generate summaries, pull in relevant context, or review past interactions before a meeting
Find time for a meeting – quickly identify and schedule time based on availability and preferences
Schedule on behalf of others – coordinate meetings even when you’re not an attendee

7. Team
The Team section allows you to manage your organization, team members, and shared scheduling settings.
From the Team page, you can access:
Members: Add and manage team members, roles, and access across your organization
Team OOO calendars: View and manage shared out-of-office calendars to improve visibility and coverage
Webhooks: Send scheduling data to external systems and workflows for automation and reporting
Billing: Manage your subscription, plan details, and billing settings
These tools help teams coordinate schedules, maintain visibility across availability, and integrate Reclaim into broader workflows.
