Getting started with Reclaim

Welcome to Reclaim.ai! Reclaim is an AI calendar that helps you plan your time, protect space for focused work, manage meetings, and adapt your schedule as priorities change. This doc is a great starting-point for new users!

Reclaim works with Google Calendar and Outlook Calendar and gives you an AI assistant, flexible calendar automations, scheduling tools, and insights to help you spend less time managing your calendar manually.

You don’t need to configure everything at once. Start with the basics below, then explore additional features as you get comfortable.


What Reclaim helps you accomplish

Reclaim is built for people whose time is constantly being pulled in different directions. It helps you:

  • Interact with your schedule with a natural-language chat assistant

  • Protect more time for focused, meaningful work

  • Balance meetings with tasks and routine responsibilities

  • Reduce calendar overload and back-to-back meetings

  • Adapt quickly when plans change

  • Preview changes in your calendar before deploying them


Reclaim.ai quick start guide

1. Connect your calendar and set your hours

When you sign up for Reclaim, connect your primary Google Calendar or Outlook Calendar so Reclaim can understand your schedule and availability.

We recommend signing up with your primary work calendar, or whatever calendar you are going to be doing the most of your scheduling during the week. You can always add additional connected calendars (like your personal, family, or side-gig calendar, later). Learn more in the Calendar Sync/Connected Calendars Overview.

Next, review and adjust your Settings → Hours to define when different types of events should happen, including:

  • Working hours

  • Meeting hours

  • Personal hours

These preferences help Reclaim make better scheduling recommendations and protect your time in the right places.

2. Explore your Reclaim Chat AI assistant

Reclaim Chat is available to the right side of your calendar in the Planner and helps you understand, plan, and optimize your schedule.

You can use the Reclaim Chat to ask questions about your calendar or request scheduling changes using natural language.

For example:

  • “Analyze my time this week”

  • “Find 30 minutes to meet with Bob this week”

  • “Clear the rest of my day and mark me as out sick”

  • “What task should I work on next?”

When a request involves changes to your calendar, Reclaim will stage those updates in Preview Mode so you can review them before anything goes live.

Once everything looks right, apply the changes to update your calendar.

You can also ask Reclaim Chat product and help questions. Reclaim’s help documentation is built-in, so it can explain features, workflows, and settings without you having to leave the Planner.

3. Set up your Agents

Agents continuously help manage different parts of your schedule based on your preferences.

Open 'Agents' in the far right menu, and click 'Add' to browse available options. Common Agents include:

  • Focus Time: Protect time for deep, uninterrupted work.

  • Habits: Make flexible time for recurring routines and responsibilities.

  • Buffers: Add prep or recovery time around meetings.

  • Smart Meetings: Help manage recurring meetings and scheduling.

  • Meeting Quality: Identify meetings that may need attention, such as missing agendas, links, or RSVPs.

Agents can adapt as your schedule changes, helping you keep important time protected without constantly reorganizing your calendar yourself. You can also create and customize Agents through your Reclaim Chat.

4. Create an AI-powered Scheduling Link to book meetings

Scheduling Links make it easier to share your maximum availability for meetings so others can book time with you, while considering the priority of other events.

You can create and customize Scheduling Links from the Scheduling tab in Reclaim.

  • Share availability with someone outside your organization

  • Offer flexible meeting times

  • Customize when and how a specific meeting can be booked

  • Reduce back-and-forth when coordinating schedules

5. Connect your other apps and AI tools

Reclaim works with the tools you already use so your calendar, tasks, and workflows stay connected where you're working.

Depending on your setup, you can connect tools including:

  • Slack

  • Zoom

  • Jira

  • Asana

  • Notion

  • ClickUp

  • Linear

  • Google Tasks

  • Todoist

Visit Settings → Integrations to see available integrations and connect the tools you use.

Reclaim also supports MCP, which lets compatible AI tools interact with your Reclaim schedule. Check out our integration collection if you want to connect Reclaim with tools like ChatGPT, Claude, or other MCP-compatible clients.

6. Bring your task list into Reclaim

You can also connect your task management tools so Reclaim can help you decide what to work on during available Focus Time.

Supported integrations include:

  • Google Tasks

  • Todoist

  • ClickUp

  • Jira

  • Asana

  • Linear

Reclaim can surface suggested tasks based on factors like your deadlines, priorities, and current schedule.

You can also create tasks directly through Reclaim Chat and start a timer when you begin working. Reclaim can track that time and optionally log it to your calendar. Learn more in our Tasks Overview doc.

7. Review your Insights

The Insights tab helps you understand how your time is being spent.

You can use Insights to review patterns across areas like:

  • Meetings vs. Focus Time

  • Workload across your week

  • Meeting-heavy or overloaded days

  • Fragmented Focus Time

  • Scheduling patterns and routines

This can help you spot where your schedule is out of balance and make more intentional changes over time.


How to use Reclaim

Reclaim continuously reviews your schedule to identify conflicts, protect time for important work, and adapt as your priorities and calendar change.

Once you work through the settings and features above, a simple workflow to try is is:

  1. Set your preferences and priorities. Tell Reclaim when you work, when you’re available for meetings, and what time you want protected.

  2. Let your Agents manage your schedule. Focus Time, Habits, Buffers, and other Agents continuously adjust around changes to your calendar.

  3. Ask Reclaim Chat for insights. Ask questions, get recommendations, or tell Reclaim what you want to change using natural language.

  4. Review changes before applying them. When Reclaim proposes calendar updates, Preview Mode will show you what will change before anything is applied. That way, you can make the final approvals on the changes you actually want to see.

  5. Refine as you go. Adjust your preferences and Agents as your schedule, routines, and priorities evolve!

You don’t need to plan the perfect week upfront. Give Reclaim the context it needs, then let it help keep your schedule on track as things change.
