Switching from Clockwise to Reclaim.ai

A migration guide to help you seamlessly switch from Clockwise to Reclaim.ai.

Updated yesterday

Whether you're a longtime Clockwise user or just starting to explore AI-powered scheduling options — this guide is here to help you make a smooth transition to Reclaim.

We’ll walk you through how features map across platforms, what to expect during setup, and how to take full advantage of Reclaim, so you can keep your schedule running without missing a beat.

Why switch from Clockwise to Reclaim?

Clockwise and Reclaim both aim to help you protect time for deep work and reduce calendar chaos. But Reclaim offers a whole new level of flexibility, intelligence, and integration to help you do more with less stress:

  • Real-time rescheduling: Clockwise reschedules once daily — Reclaim adjusts instantly as your calendar changes.

  • Task integrations: Reclaim syncs with Asana, Todoist, Google Tasks, Jira, and more to auto-schedule your work.

  • Prioritization: Reclaim uses AI to make tradeoffs between Tasks, Habits, and meetings — Clockwise doesn’t support priorities.

  • Smarter focus time: Focus events in Reclaim come with daily/weekly goals, circuit breakers, and better customization.

  • Fewer scheduling headaches: Reclaim’s free/busy controls, auto-locking, and intelligent buffers help you stay on track and in control.

  • More flexibility: Easily move or delete Reclaim-created events, and they won’t come back unless you want them to.

Clockwise vs. Reclaim features

Here’s how your Clockwise capabilities translate to Reclaim features — plus key differences to help you get the most out of your new setup.

Notes

Lunch

Reclaim Lunch auto-reschedules on the same day — Clockwise doesn’t. Add auto-locks for structure.

Travel Time

Customize travel preferences based on location and time.

Personal Calendar Sync

Reclaim supports multiple one-way syncs with privacy controls.

Flexible Meetings

Real-time rescheduling with time windows, priorities, and attendee rules.

Focus Time

Focus Time (private beta)

Reclaim supports daily/weekly Focus goals for any calendar.

Flexible Holds

Reclaim separates recurring routines (Habits) and one-off to-dos (Tasks) so you can carve out dedicated time to get work done.

Scheduling Links

Reclaim uses AI priorities to offer up max availability — not just Focus Time.

Color Coding

Categorize and color-code just Reclaim created events, or all events.

Slack Status Sync

Works similarly, with more control over which events update your status.

No meeting days

Reclaim can support IT to get up a shared calendar + #reclaim_free event hashtags for no-meeting days.

Team Analytics

Reclaim highlights your team's productivity and work-life balance stats, so you can keep an eye on goals.

Meeting Breaks

Automatically adds breaks after meetings to prevent back-to-back days and burnout.

Features unique to Reclaim

There are several unique features at Reclaim that go beyond Clockwise’s capabilities, giving you more control, flexibility, and smarter scheduling for the week.

Reclaim Feature

What it does

AI priority levels

Your calendar intelligently makes tradeoffs between meetings, tasks, and routines based on priority.

Real-time rescheduling

Updates your calendar within seconds of a change — not just once a day.

Advanced task integrations

Integrate your to-do list from project management tools your team is already using including: Asana, Todoist, Linear, ClickUp, Jira, Google Tasks. Clockwise does not support any task integrations.

Manual calendar controls

Move, delete, or reschedule Reclaim events — and Reclaim respects your preferences.

Extended planning horizon

Schedule out up to 12 weeks, vs. Clockwise’s 3-week limit.

More flexible Scheduling Links

Protect more than just Focus Time using smart priorities.

Better team management

Default working and meeting hours across the team, Habit templates, and default Focus Time settings.

✅ Migration & setup checklist

Step 1: Disconnect Clockwise

  • Deactivate your Clockwise account (learn how here).

  • Remove the Clockwise Chrome extension (learn how here).

  • Disconnect the Clockwise Slack integration (learn how here). Admins can do this org-wide.

Wait 1–2 hours for your Clockwise events to fully clear before setting up Reclaim to avoid any scheduling conflicts. Note: If you have Flexible Meetings you're not the organizer of, Clockwise will continue scheduling these on your calendar. You'll need to reach out to the organizer of the meeting to clear these.

Step 2: Set up Reclaim

  • Sign up at Reclaim.ai and connect your Google Calendar or Outlook Calendar.

    • Note: If your organization is using SCIM your account may be automatically provisioned.

    • Set your Focus Time goal

    • Sync your personal calendar

    • Set up your Lunch Habit

    • Configure Buffer Time between meetings

    • Set up your first Scheduling Link

Step 3: Take your AI-scheduling to the next level

  • Review your working, meeting, and personal hours.

  • Set up Slack Status Sync and Zoom integration.

  • Convert recurring meetings to Smart Meetings.

  • Customize more Habits for work and life routines.

  • Create your first Task and connect a task integration if needed.

  • Customize your default Scheduling Links and booking page, and set up Team/Round Robin links.

  • Adjust event category color-coding.

  • Set up Travel Time preferences.

  • Connect any additional calendars.

  • Tweak advanced Focus Time settings (goals, mode, minimum hours).

  • Set up a no-meeting day via shared calendar + #reclaim_free events.
