Troubleshooting your availability on Scheduling Links

Reclaim provides a built-in way to automatically troubleshoot why certain times on your Scheduling Links aren't showing -- and take action.

Reclaim provides a number of layers that determine which times will show as available on your Scheduling Links. It can get a bit overwhelming sometimes to understand why a time isn't showing as available, especially when you're scheduling across multiple busy co-organizers.

By using the Troubleshoot availability feature on your Scheduling Links, you can easily narrow in on any time and see why it's not showing as available to your attendees.

Enabling the Troubleshoot Availability feature

On any Scheduling Link where you're a co-organizer or main organizer, simply navigate to the booking page and you'll see a toggle to enable Troubleshoot availability. Note that you have to be logged in to Reclaim for this to work (this prevents attendees from being able to toggle this on for your links):


Once you've enabled the feature, you'll see the date picker update with additional selectable days and the list of times open up significantly -- this is normal, and is meant to allow you to navigate to any time, including unavailable ones, to see why that time isn't showing as available:

Using the Troubleshooter

To use the Troubleshooter, simply click on any date that you'd like to investigate and then click into a time that shows. Every time has a unique set of possible reasons why the time might be unavailable, and each reason is represented with one or more colored dots. For example, here's a time that has three reasons why the time isn't available:

Once you click into the time, it will expand to show more info about each reason, as well as a link that will let you modify your preferences for each variable that can impact availability.

Tip: if you're running into issues around your availability and want to modify it for just a single meeting, try using a one-off link.

Possible reasons why a link isn't showing availability

Below is a list of all possible reasons you may see for a link that impact its availability. You may not see all of these reasons, and some are more common than others:

Description

The time isn't available because it's in the past. For example, if today is September 15th, September 14th would be unavailable because it's in the past.

The time isn't available because it's sooner than the Scheduling Link's starting date. For example, if you've set a Scheduling Link to be bookable starting on Tuesday, and today is Monday, you'd see this reason.

The time isn't available because it's past the latest possible bookable date for the Scheduling Link. For example, if you've set a Scheduling Link to be bookable through the next 30 days, and you're looking at a date that is 35 days out, you'd see this reason.

The time isn't available because it would exceed the Scheduling Link's settings for the maximum number of meetings per day or week. For example, if a Scheduling Link has a max of 5 meetings per week, and the week you're viewing a time for already has 5 meetings booked, you'd see this reason on all dates for that week.

The time isn't available because it's not in the selected list of meeting start time intervals for you or another co-organizer. For example, if a link has an organizer who only allows meetings to start on :00 and :15, and you're looking at 8:45, you will see this reason.

The time isn't available because it is outside of you or another co-organizer's hours for the link. For example, if your meeting hours go until 6pm, and you're looking at 6:30pm, you will see this reason.

The time isn't available because it overlaps with a travel or decompression time slot, or because the time wouldn't allow for a travel or decompression buffer to be added. For example, if a link you're troubleshooting has decompression or travel time enabled, and you're looking at a time that wouldn't allow for time for the buffer to be added, you will see this reason.

The time isn't available because it overlaps with a conflicting event on you or another co-organizer's calendar. For example, if you have a meeting on your calendar at 10am and are viewing 10am in the debugger, you will see this reason.

The time isn't available because it overlaps with a higher-priority event for you or another co-organizer's calendar. For example, if you have a Critical-priority Habit event on your calendar at 9am, and are viewing 9am, you will see this reason.

Troubleshooting your availability is a powerful way to know how to control what shows to your attendees, and to maximize your scheduling efficiency.
