What are Scheduling Links?
Scheduling Links let you share your availability so other people can find and book a time that works without the back-and-forth.
You can create links for yourself or coordinate availability across multiple teammates, then control things like when meetings can happen, how long they can be, how much availability you want to offer, and where the meeting takes place.
What makes Reclaim Scheduling Links especially useful is that they work with the rest of your schedule and priorities. Instead of only showing completely empty time, higher-priority Scheduling Links can offer time currently occupied by lower-priority flexible events that you’re willing to move.
That means an important meeting can get booked sooner without requiring you to manually clear space on your calendar first.
Creating a Scheduling Link
You can create a Scheduling Link by clicking +New Link the Scheduling Links page or using the +Create menu in Reclaim.
Setting your Scheduling Link rules
When you create or edit a Scheduling Link, you can control how and when people are able to book with you.

Organizers | Who joins the meeting and which Meeting Hours Reclaim uses for each organizer |
Round Robin pool | Which teammates can be selected when only one person from a group needs to take the meeting |
Videoconferencing & location | Meeting options like Google Meet, Zoom, or another location |
Eligible meeting times | The days and hours attendees can book |
Priority | How much availability the link can surface over lower-priority events |
Durations | Add up to 3 meeting durations attendees can choose from |
Soonest scheduling time | How much notice you require before someone can book |
Latest scheduling time | How far into the future attendees can book |
Buffers | Protected time before or after meetings booked through the link |
Frequency limits | How often the Scheduling Link can be booked |
URL & Group | The link URL and which booking page or Link Group it belongs to |
Booking page visibility | Whether the link appears on your booking page or is only accessible through its direct URL |
Reminder emails | Whether attendees receive a reminder before the meeting |
Branding | Reclaim branding, no branding, or your team’s custom branding |
Custom fields | Information or screening questions attendees complete before booking |
Redirect URL | Where attendees are sent after booking |
Webhooks | Connect Scheduling Link activity to other workflows or systems |
Once you’re happy with your settings, click Create to save the Scheduling Link and make it ready to share.
Offer more or less availability with priorities
A Scheduling Link’s priority determines how much of your calendar Reclaim can offer as available.
A higher-priority Scheduling Link can show times currently occupied by lower-priority flexible events.
For example, if you send someone a Critical (P1) Scheduling Link, Reclaim can offer time currently occupied by lower-priority Habits, Smart Meetings, or calendar events whose priority you’ve manually lowered.
If someone books one of those times, Reclaim can move the lower-priority flexible event based on its scheduling rules.
The four priority levels are:
Critical (P1): Offers the most availability
High (P2): Can offer time over Medium and Low-priority flexible events
Medium (P3): Can offer time over Low-priority flexible events
Low (P4): Offers only open time on your calendar
Events not created by Reclaim are Critical (P1) by default and won’t be offered as available unless you manually lower their priority. Additionally, once a meeting is booked through a Scheduling Link, Reclaim will not schedule another Reclaim event over it, regardless of priority.

Schedule across multiple teammates with Team Links
A common use case for Scheduling Links is finding time across several teammates’ calendars.
With a Team Link, Reclaim automatically combines the availability of multiple people on your Reclaim team so attendees can find a time that works for everyone without the back-and-forth.
Team Links are useful for things like:
Customer calls with multiple team members
Cross-functional meetings
Leadership meetings
Interview panels
Partner or vendor conversations
Creating a Team Link
Create a Team Link the same way you create any other Scheduling Link, then add additional teammates as Meeting organizers.
For each organizer, you can choose which hours Reclaim should use when looking for availability. Co-organizers can also update their own preferences later.
Once saved, the link shows availability across everyone required for the meeting, and all organizers are added when someone books. You can only add people who belong to your Reclaim team.
Making organizers optional
If someone should be invited but doesn’t need to be available for the meeting to happen, you can mark them as optional.
Reclaim will stop using that person’s availability when deciding which times to offer, but they’ll still be included on the calendar invitation.
This is especially helpful when one busy calendar is limiting availability for the entire group.
Priorities on Team Links
A Team Link has one shared priority across all organizers, set by the organizer.
For example, a Critical (P1) Team Link can offer times that are free or occupied by lower-priority flexible events across the required organizers’ calendars.
Reclaim only offers a time when it works according to the priority rules for everyone required on the link.
Route meetings across a team with Round Robin Links
Sometimes you don’t need everyone on a Scheduling Link to attend. You just need one available person from a group. That’s where Round Robin Links come in.
Instead of finding a time when every team member is available, a Round Robin Link combines availability across a pool of people and books the attendee with one available team member.
This can help you offer more meeting times while spreading meetings across your team.
Common use cases include:
Sales: Let prospects book with an available rep
Recruiting: Route an interview to one available interviewer
Customer success: Offer time across a pool of CSMs
Support: Let customers book with an available team member
How Round Robin scheduling works
By default, Reclaim focuses on maximizing availability across the Round Robin pool.
Attendees see available times without choosing a specific person. Once they confirm the meeting, Reclaim assigns an available host and shows them who they’ll be meeting with.
When multiple hosts are available at the same time, Reclaim can prefer the person who has fewer meetings booked through that Round Robin Link to help reduce meeting load.
If an attendee later reschedules, Reclaim will try to keep them with their original host when possible.
Adding required or optional organizers
A Round Robin meeting can also include people who should attend every meeting in addition to the person selected from the pool.
For example, you could require an Account Executive on every customer meeting while using the Round Robin pool to choose one available Solutions Engineer.
Organizers can also be marked optional when you want them invited without requiring their availability.
Choosing preferred organizers
You can designate one or more people as preferred organizers when you want Reclaim to try them first while still using the rest of the pool as backup.
For example:
Route an account to its owner first
Give the primary CSM first choice
Prefer a particular interviewer while keeping others available as backup
If a preferred organizer is available, Reclaim prioritizes them. If not, it can use another eligible person from the pool.
Priorities on Round Robin Links
The Scheduling Link priority is shared across the members of the Round Robin Link.
A higher-priority Round Robin Link can surface more availability by considering lower-priority flexible events according to each member’s calendar and priority settings.
Team Link = find a time when everyone required can meet.
Round Robin Link = find a time when one available person from a pool can meet.
Create one-off Scheduling Links
Sometimes you need a link for one specific meeting without changing one of your reusable Scheduling Links. A one-off Scheduling Link lets you tailor things like the meeting title, duration, hours, priority, or organizers for that conversation.
From your Scheduling Links page in the app, click the three dots on the link card and select Share & personalize to tweak the link settings and generate a unique URL to share.
This is useful for unique or higher-priority meetings where your usual link settings don’t quite fit.
Note: A personalized link URL will expire after 30 days.
Organize links with booking pages and Link Groups
You can group related Scheduling Links together on a booking page using Link Groups. That way you don't have to share all your booking links at once.
For example, you might create a group for recruiting interviews, customer meetings, or a specific team.
You can also keep a link hidden from your booking pages while still sharing the direct URL.
Sharing and embedding Scheduling Links
Once you create a Scheduling Link, you can:
Copy the URL and send it directly
Share it by email or social media
Add it to a booking page
Embed it on a website
Open the Share menu on a Scheduling Link to access its sharing and embed options.
Customizing Scheduling Link branding
On Business and Enterprise plans, you can customize the branding on your booking pages and related emails.
You can:
Use Reclaim branding
Remove Reclaim branding
Use your team’s custom logo and banner
Branding can be set at the Team, Group, or individual Link level, and is set by a Reclaim Team admin.
