Share your meeting availability with ‘Scheduling Links’

Create a priority-driven Scheduling Link in Reclaim to share your maximum availability for meetings.

You can create booking pages, team links, and even Round Robin Scheduling Links to spread the meeting load across multiple people.

How to create your first Scheduling Link

Click Scheduling Links in the left navigation

  1. Set your slug & create links.

    • This is the root URL that will be used for your personal booking page, where your Scheduling Links will live, and you can always change it later.

    • You’ll see that Reclaim auto creates 3 scheduling links for you

  2. Click edit (pencil) on the High Priority Meeting link

    • Optional: Edit the name of the Link

  3. Expand Organizers by clicking the down arrow on the right

  4. Click on Meeting Hours dropdown (to the right of you as the organizer)

    • Choose One-off Hours and change Friday to end at 2pm

  5. VideoConference Link - this will default to Google Meet or Teams

    • To add Zoom, Click + Add Another and sign into your Zoom account

  6. Expand Scheduling by clicking the down arrow on the right

    • Click +Add Duration and type 30m

  7. Scroll to the bottom and hit Save

How to open your Scheduling Link and view your availability

In the High Priority Meeting square notice the edit, copy, priority, and 3 dots…

  1. Click the 3 dots and then click Open Booking Page

  2. Toggle on Compare my calendar

  3. Click through days and find a Lunch Habit

  4. Compare your availability and notice that Reclaim has made it available for booking on your High Priority Meeting link

  5. Go to Habits and change the priority on your Lunch Habit to Critical

  6. Refresh your Scheduling Link Page and notice that Reclaim is NO longer offering lunch as an available time

How to Share and Personalize your link (ex. add a teammate)

We are going to create a temporary, unique Scheduling Link.

  1. In the High Priority Meeting square

  2. Click the 3 dots and then click Share & Personalize

  3. Click Personalize at the bottom of the pop-up

  4. expand Details and change the meeting name to something custom

  5. Expand Attendees & location and add a colleague that you might typically need in meetings

  6. Expand Scheduling and remove all, but one duration

  7. Click Copy link and paste it in a new browser window

  8. See that there are multiple attendees, Reclaim is offering time across both of your availabilities, and priorities if the added attendee is a Reclaim user.

How to troubleshoot availability on your Scheduling Links

  1. Open your High Priority Meeting Scheduling Link page

  2. Toggle on “Troubleshoot availability”

  3. Notice the sidebar shows all hours of the day with color-coded dots

  4. Click on a time that is unavailable, notice that Reclaim explains why this time is not available for booking by others on your scheduling link, and also links to Settings that you can change

How to share & copy times that you are available

  1. In the High Priority Meeting square

  2. Click the 3 dots and then click Share & Personalize

  3. Select 2 days and some times on each day

  4. Click Preview to see the times you’d like to share

  5. Click Copy times and paste into an email

How to add a required question to the booking form

  1. In the Flexible Quick Meeting square click Edit

  2. Expand Booking Page customization with the down arrow on the right

  3. Click +Add field

  4. Click the drop down under Response Type and choose ‘Single Line’

  5. Type in a question. Example: “What would you like to discuss?”

  6. Click Create Question

  7. Click Save
