How Reclaim 2.0 uses Priorities to plan your workweek

Learn how to prioritize your agents, scheduling links, and calendar events so Reclaim makes time for your most important work first.

Priorities are how you tell Reclaim what matters. With them, you can build a plan around what's most important each week and let Reclaim make tradeoffs with lower-priority items when your calendar fills up.

You can set a priority on your agents, your scheduling links, and even on non Reclaim managed events on your planner.

The four priority levels

  • Critical (P1): Reclaim will schedule Critical items before any other events, and these can overbook lower-priority items as your calendar books up.

  • High priority (P2): High priority events will be prioritized before medium and low priority events, and can be overbooked by critical events.

  • Medium priority (P3): Medium priority events will be prioritized before low priority events, and can be overbooked by medium-critical priority events.

  • Low priority (P4): Low priority events will be prioritized last, around your availability, and can be overbooked by higher-priority items.

How priorities work

The basic rule: higher priority books over lower priority, and Reclaim finds a new time for whatever it displaced. Nothing is deleted — it's rearranged - within the rules and guidance you give Reclaim.

Here's what that looks like in practice. Say you have a lunch Habit set to Medium (P3), and you send a client a Critical (P1) scheduling link to book time with you. Because the link outranks your lunch, the client can book over it — and Reclaim finds you another time for Lunch.

That's the tradeoff to keep in mind as you set priorities: a higher priority protects your time, but offers less availability to other people. A lower priority does the reverse. There's no universally correct setting, and it's a decision worth making per agent rather than once for everything.

Agents (Habits, Buffers, Focus, Smart Meetings)

Agents are how Reclaim helps manage your calendar. Every agent has a priority you set — higher-priority agents are scheduled before lower-priority ones, and can book over them as your week fills up, so the routines and focus time you care about most still get placed.

Setting Agent Priorities

  1. Editting each Agent - when creating and setting rules for agents, you can set the priority.

  2. Your Agents List is grouped by priority level, with Critical at the top, followed by High, ​Medium, and Low. Each agent has a small drag handle to the left of its name.
    ​Grab that handle to move an agent:

    1. Drag it into a different group to change its priority level

    2. Drag it up or down within its group to change what Reclaim handles first.
      If Agents have the same priority - then their order in the Agents list decides which one goes first.

THIS IS IMPORTANT - Reclaim respects the order of your agents within a priority level. Two agents that are both Critical are not treated identically — the one higher in the list gets protected first.

For example: if your Lunch Habit is set to Critical and sits at the top of your Critical list, Reclaim will place Lunch before any other agent.

Scheduling Links

A higher-priority link shows more availability. It offers your invitee times that are currently taken by lower-priority flexible events like those managed by Habits, Focus, or Smart meeting Agents. Reclaim reschedules those if someone books. A Critical link offers the most availability; a Low link offers only time that's already genuinely free.

Meetings booked through a scheduling link are never booked over by any Reclaim event, whatever its priority. Once time is booked, it's protected.

Prioritizing non-Reclaim created events

ne of the most powerful features of Priorities is that you can also prioritize non-Reclaim events (ex. recurring internal team meetings, standups, etc.) to offer up your maximum availability for important meetings.

Important things to note:

  • All non-Reclaim events on your calendar will always be set to P1 by default (most critical) so they will never be overbooked by Reclaim – unless you manually change their priority level.

  • Your non-Reclaim events manually set to a lower priority level can only ever be overbooked by higher-priority Scheduling Links which will show that time as available – non-Reclaim events will never be overscheduled by Habits, Tasks, or Smart Meetings, regardless of their priority.

Frequently asked questions

Will Reclaim schedule over my existing meetings?

Events you create and invitations you've accepted are Critical by default, so Reclaim won't reschedule them. If one creates a conflict, Reclaim flags it and recommends a fix instead.

Will a Critical agent book over a meeting someone booked through my scheduling link?

No. Once a meeting is booked through a scheduling link, no Reclaim event will be scheduled over it, regardless of priority.
​

Do I need to prioritize everything?

No. Only Reclaim Agents & Scheduling Links. prioritizing regular calendar events is optional if you want to leverage scheduling links to book over them.

What happens if two agents have the same priority?

The one higher in your Agents list is handled first. If that's not the order you want, drag them to change the order.
