Reclaim Agents are smart calendar automations that manage specific types of events for you based on your preferences and rules.
Each Agent has a job. For example, your Focus Time Agent protects time for deep work, a Habit Agent finds time for a recurring routine, and a Buffer Agent adds breaks throughout the week.
Once you set an Agent up, Reclaim keeps managing those events in the background as your week changes. Depending on the Agent, it can create, move, protect, or flag time while following the scheduling rules and priorities you’ve chosen.
What is an Agent in Reclaim?
An agent is a standing instruction about your calendar that Reclaim carries out in the background. You describe what you want and the rules the Agent should follow, and the agent then creates, moves, protects, or flags time as your week changes.
Reclaim includes several types of Agents designed to automate different parts of your calendar:
Agent type | What it does |
Habits | Protects flexible time for a recurring routine: lunch, weekly planning, an end-of-day catch-up |
Focus Time | Schedules time for deep work toward a daily or weekly hourly goal |
Defend Meeting Overload | Caps how much of your time goes into meetings, and defends what's left |
Buffers | Creates time for prep, travel, or decompression time around specific kinds of events or meetings |
Smart Meetings | Reschedules internal recurring meetings (like 1:1's) to the next best time for everyone when they need to move |
Meeting Quality | Inspects your meetings and flags problems like missing videoconferencing links or missing RSVPs |
Creating an agent
Agents live in the right-hand sidebar of your Planner. You can create an Agent in a few different ways:
Click +Add at the top of your Agents list to browse a library of templates
Use the +Create button in the top navigation
Ask Reclaim Chat to create one for you
The Agent Library is organized by type, including Habits, Buffers, Focus Time, Smart Meetings, and Meeting Quality, so you can browse based on what you want Reclaim to help manage.
Templates you’ve already added will show an Added badge.
When you create or edit an Agent, Reclaim will show the proposed calendar impact in Preview Mode first. This lets you review what the Agent will do before applying any changes.
You can edit, disable, or remove an Agent anytime.
How an Agent is set up
All Agents use the same basic structure, so once you’ve configured one, the rest should feel familiar.
1. Agent name
Give your Agent a name that makes it easy to recognize on your calendar and in your Agent list.
For some Agents, the default name may be enough. For others, especially Buffers or Habits, a more specific name can help if you have several variations.
For example, for multiple prep Buffers, you might differentiate them as:

2. Event settings
Event settings define what the ideal calendar event should look like and how it should schedule.
Depending on the Agent, you can configure settings like:
Title: What appears on your calendar, including an emoji if you want one
Ideal time and duration: When you’d prefer the event to happen and how long it should last
Busy or free: Whether other people see that time as available
Visibility: Whether others can see the event details or only that you’re busy
Reminders: Notifications for the event, which you can customize or turn off
Priority: How Reclaim should prioritize this Agent relative to other Agents and events on your calendar
3. Agent rules
Agent rules tell Reclaim how much flexibility it has when scheduling or rescheduling time.
For example, a wider scheduling window gives Reclaim more opportunities to find time for an event when your calendar changes.
The available rules vary by Agent type, since a Focus Time Agent may need different scheduling guidance than a Buffer Agent or Smart Meeting Agent.
Managing and prioritizing your Agents
All of your Agents live in the right-hand sidebar under 'Agents' and are grouped by priority:
Critical
High
Medium
Low
Priority tells Reclaim how important an Agent is relative to other flexible events on your calendar, and how you want these events to schedule relative to each other.
Important: The order of Agents within the same priority level matters too. If two Agents have the same priority, Reclaim uses their stack-ranked order in your list to decide which one should get time first.
In some cases, a higher-priority Agent can overbook a lower-priority Agent if there is not enough time for both based on your requirements. You can learn more about how these trade-offs are made in our Priorities Overview help doc.
For example, if a Critical Lunch Habit appears above a Critical Strategic Planning Habit, Reclaim will prioritize Lunch first when those two Agents compete for the same available time.
From your Agents list, you can:
Filter by Agent type to show specific categories
Change an Agent’s priority
Drag and drop Agents to reorder them within the same priority level
Edit or remove an Agent
Disable an Agent to pause its scheduling without deleting the setup
