Buffer Agent overview: Auto-schedule travel time, meeting prep, and breaks

Learn how Buffer Agents automatically add time before or after the meetings and events that need it.

What is a Buffer Agent?

A Buffer Agent automatically adds time before or after specific meetings and events so you have room to prepare, travel, take notes, or reset before moving on to the next thing.

Instead of manually adding prep or recovery time every time a meeting gets booked, you define the kinds of events that need a Buffer and Reclaim handles the rest.

For example, you might create separate Buffer Agents for:

  • 10 minutes of prep before external meetings with more than two attendees

  • 5 minutes to decompress after interviews

  • 15 minutes of prep before your 1:1 with your manager

  • Travel time before and after in-person meetings

You can create as many Buffer Agents as you need, each with its own rules for which meetings or events it should apply to.


How to create a Buffer Agent

You can create a Buffer Agent in a few ways:

  • Click +Add from your Agents list and choose Buffers from the Agent Library

  • Use the +Create button in the top navigation

  • Ask Reclaim Chat to create one for you

    • For example: "Give me 15 minutes to prep before every external meeting."

Reclaim also includes pre-configured Buffer templates for:

  • Decompression

  • Travel time

  • Airport time

  • Meeting prep

When you create or edit a Buffer Agent, Reclaim will show the proposed calendar impact in Preview Mode first so you can review where the Buffers will be added before applying any changes.


Choosing which meetings get a Buffer

The most important part of setting up a Buffer Agent is deciding which meetings or events it should apply to.

Under the Agent rules, Events to buffer opens the Event Matcher, where you can create very specific filters for your Buffer. As you adjust the filters, Reclaim shows you the matching events so you can confirm the Agent is targeting the right ones.

Describe the events in plain language

From the Event Matcher, you can get granular, defining very specific rules for your Buffers. As you define the filters you will see a list of matching events on the right hand side of the popup.

You can tell Reclaim what kinds of events you want to match using natural language.

For example: "External meetings with more than five attendees."

Reclaim can use that description to build the matching filters for you.

Build the filters yourself

You can also configure the Event Matcher manually.

Filters can include things like:

  • Text: Match words in the event title, description, or location

  • Attendees: Match specific names, email addresses, or organizers

  • Number of participants: Target meetings based on attendee count

  • Meeting category: Match team, external, one-on-one, or personal events

  • Meeting length: Target longer meetings, such as events over two hours

  • Specific events: Match an exact event title

  • Fields or tags: Match text like #travel or #flight

Filters can be combined, so you can make a Buffer as broad or specific as you need.

You can also choose which calendar the Buffer Agent should consider, either one specific calendar or all of your connected calendars.

What you want

Collect your thoughts before a 1:1

Add 5–10 minutes before meetings where that person is the only other attendee

Prepare for a large external meeting

Add 15 minutes before external meetings with five or more attendees

Prepare for a meeting you lead

Add a 15-minute prep Buffer at Critical priority and match the meeting title

Catch up on notes after calls

Add a Buffer after matching meetings

Guarantee a break after interviews

Add 15 minutes after interviews and use Critical priority if you don’t want the time booked over

Make time to travel

Add time before and after events with a location or travel tag

A Critical Buffer gets the strongest protection from being booked over, so use that priority for Buffers you really don’t want to lose in a busy week.


Adding travel time

When an event requires travel, a Buffer Agent can automatically protect the time you need to get there and back, so travel time doesn’t get squeezed out by other meetings. Add time before, after, or on both sides of the event.

You can use the Event Matcher to identify travel events based on things like:

  • A physical address in the location field

  • #travel in the event title or description

  • Other text or fields you consistently use for in-person meetings

This lets Reclaim automatically protect travel time whenever a matching event appears on your calendar.

Adding airport time for flights

You can use the same approach for flight events on your calendar. A Buffer Agent can automatically protect the extra time you need before air travel, like getting to the airport and through security.

Create a Buffer Agent that matches your flight events and adds the amount of time you need around them. For example, you can match events using:

  • The flight event category

  • A #flight tag

  • Specific text in the event title or description


Naming your Buffer Agents

You may end up creating several Buffer Agents, so clear names make them much easier to manage later.

For example:

  • External meeting prep

  • Interview recovery

  • Manager 1:1 prep

  • Client travel time

  • Airport buffer

A descriptive name makes it easier to quickly understand what each Buffer is doing when you review your Agents list.


What happens when there’s a conflict

By default, Buffers can be removed from your schedule when another event creates a conflict.

For example, if a meeting gets booked over a Buffer, Reclaim may remove the Buffer rather than leave both events conflicting.

If you want the Buffer to remain visible even when there’s a conflict, you can configure the Agent to keep it on your calendar as a conflicting event instead.

Your Buffer’s priority also affects how strongly Reclaim protects that time. Learn more about how Priorities work in Reclaim.


Buffer Agent troubleshooting

I don't see my Buffer Agent on the calendar?

Check whether another event created a conflict.

By default, Buffers can be removed from the schedule when they no longer fit. If you want the Buffer to stay visible regardless, update the Agent settings to keep it as a conflicting event.

I'm getting Buffer Agent I don't want.

Review the Buffer Agent’s Events to buffer filters.

The match may be broader than you intended. Narrow it using things like meeting category, attendee, event title, or another specific condition.

I don't want a reminder for my prep time events.

You can turn reminders off in the Buffer Agent’s event settings.
