Reclaim Chat overview: AI assistant for your calendar

Ask Reclaim to schedule things, find problems in your week, or explain how the product works and approve everything before it happens.

Reclaim Chat overview

Reclaim Chat gives you a simple way to manage your schedule from the Planner. Ask questions, make changes, find time, and get help with your calendar using natural language.

You can ask it to schedule events, adjust your Agents, find time with co-workers, resolve conflicts, review your week, or answer questions about how Reclaim works.

Reclaim Chat won’t make changes to your calendar without your approval. When it proposes scheduling updates, you can review them first in Preview Mode before approving the changes you want to take live.

Enabling Reclaim Chat

When you first get started after signup, you’ll be prompted to enable Reclaim Chat in the Planner.

If you're on a team, this is a team-wide setting. If your Admin hasn't enabled chat, you will see "Reclaim Chat is disabled. Contact your team admin to enable AI-powered chat assistance" with a link to help you identify your team admin.

If you’re a team admin, you can enable or disable Reclaim Chat for everyone under Team Settings.


How to use Reclaim Chat

Reclaim Chat works best when you treat it like a scheduling partner. You can ask it to review your calendar, help you make changes, find time, or tell you what needs attention.

Try prompts like:

  • Help me get my week back on track.

  • What needs attention on my schedule?

  • Find 30 minutes with [names] next week.

  • Move my Friday afternoon meetings to Thursday.

  • What events on my calendar could I automate?

  • What tasks should I work on today?

  • How can I make more room for Focus Time this week?

You don’t need to use specific commands or perfect phrasing. Talk to Reclaim Chat the way you would any other AI tool: add context, ask follow-up questions, refine your request, or tell it when you want a different approach.


Your daily calendar review

Reclaim reviews your upcoming schedule each night and looks for things that may need your attention, including:

  • Conflicting events

  • Invitations you haven’t responded to

  • Meetings without a video conferencing link

  • Attendees who aren’t available for a meeting you organized

In the morning, you can receive a digest by email, Slack, or both. You can manage these preferences under Notification Settings.

Opening the digest takes you into Reclaim Chat with recommended fixes ready to review, so you can work through scheduling issues in one place. And you don’t have to wait for the daily digest. You can run a review anytime by clicking Recommendations in Reclaim Chat.

Reviewing suggested changes

When Reclaim Chat suggests calendar changes, they appear in Preview Mode first.

Think of Preview Mode as a sandbox for your calendar. Changes can be staged so you can see what your schedule would look like before anything is applied.

For each suggestion, you can:

  • Accept the suggestion

  • Discard it while keeping the other proposed changes

  • Reply in Reclaim Chat to ask for something different

When you’re happy with the proposed updates, click Review & Apply Changes.

You’ll get one final review of all the changes that are about to be made. From there, you can confirm or remove individual updates before applying them.

Only after you approve the changes will Reclaim update your calendar and notify attendees when applicable.

You can also leave changes pending by closing the review or toggling off Preview Mode.

Reviewing a future week

Your daily review focuses on the rest of the current week and the beginning of the next.

To review a different week, navigate to it in the Planner and run Recommendations again. Reclaim will review the dates you're currently viewing in your Planner.


Using 'Memories' for your preferences

Reclaim Chat can remember preferences and instructions you give it over time. These are called Memories, and Reclaim uses them to make future suggestions more relevant to how you work.

For example:

  • “Don’t schedule anything before 9am.”

  • “It’s fine to reschedule my recurring team sync.”

  • “Always suggest accepting invitations from my manager.”

  • “Never decline a meeting with our CEO.”

To create a Memory, simply tell Reclaim Chat what you want it to remember.

For example: "Always keep Friday afternoons free."

You can review or delete your Memories anytime by clicking the bookmark icon in Reclaim Chat.

A few things to note about Memories:

  • Memories guide suggestions, but they don’t act on their own. For example, a Memory that says “Always accept invitations from my manager” means Reclaim Chat can recommend accepting those invitations. It won’t automatically accept them on your behalf.

  • You can refer to people by name or email address. For example: “Always accept invitations from [name].”

  • Role-based references require your organization’s data. Memories like “my manager” or “my direct reports” only work when your company provisions Reclaim with its org structure through SCIM. If that data isn’t available, use the person’s name or email instead.

You can also use Reclaim Chat to learn how Reclaim works. Reclaim’s help documentation is available through Reclaim Chat, so you can ask questions about features, settings, and workflows without leaving your Planner.

For example:

  • What’s a Buffer, and when should I use one?

  • How do priorities affect my Scheduling Links?

  • Why did Reclaim move my Focus Time?

  • How do I create a Habit?

  • What can Reclaim help me automate?

  • How do Tasks work in Reclaim 2.0?

Reclaim Chat gives you a faster, more flexible way to manage your calendar and get more out of Reclaim. The more context you give it, the more useful it can be in helping you plan, adjust, and stay on top of your schedule.
