Request a paid subscription purchase from your company
Updated over a week ago

Reclaim.ai is a productivity tool predominantly used by busy professionals to become more productive and organized at work. If you're one of the first to discover Reclaim at your company, you're probably paying out of pocket for your subscription.

But since you're using Reclaim for work, you should ask your work to pick up the cost of your subscription. It not only saves you a few bucks every month, but helps the next person on your team who wants to become more efficient at work like you.

Here's how Reclaim can help you get your subscription cost covered, and get approval for a wider rollout at your team:

  • Get approval from your manager

  • Help submitting a purchase request

  • Secure approval with your procurement team & complete a security review

  • Coordinate a pilot test or company rollout

Get approval from your manager

Oftentimes, before submitting a purchase request, the purchasing department will want you to get approval from your manager. Fortunately, Reclaim is an easy sell since it provides immediate and noticeable value to your productivity and time management that your manager can directly see on your calendar.

You can ask your manager in your next one-on-one meeting, or use this quick email template to request approval:

Email template if you're already paying for Reclaim out of pocket

Hi manager,

As you may have noticed from my calendar, I started using a new productivity tool recently called Reclaim.ai. It's an AI calendar app that's helped me completely transform my calendar by automatically finding the best time for me to work on my tasks, habits, and even meetings.

Just since starting Reclaim, I've already been able to defend an extra 4 hours/week for productive work that used to get lost managing distractions, context switching, and inefficient gaps in my calendar.

While they have a great free plan, it's been so helpful that I've purchased a subscription on my own. However, since I'm using it for work, I was wondering if I could get your approval to pay for it through the company?

Let me know if you have any questions, and I'd be happy to show you around the app sometime.

Thank you!

While they have a great free plan, I've unfortunately hit the plan limits and would love to upgrade to a paid subscription so I can unlock the scheduling power I need to optimize my calendar. However, since I'm using it for work, I was wondering if I could get your approval to pay for it through the company?

Let me know if you have any questions, and I'd be happy to show you around the app sometime.

Thank you!

Submit a purchase request for your Reclaim subscription

Purchase request forms are easy documents you submit to your purchasing department when you're making a new purchase at work. Once you have approval from your manager, you're all set to submit your request to get your purchase underway.

While every company has a unique set of requirements for their purchase request forms, you can typically expect to fill out basic information like product/vendor name and cost, but you can almost always expect a field to justify the business case for the purchase.

Here is a business case template to use when submitting your purchase request:

“I’m requesting a license for Reclaim.ai in order to improve my productivity and time management. I require Reclaim.ai’s automated time blocking, prioritization, analytics, and meeting management capabilities to flexibly defend more time for heads-down work and reducing inefficient scheduling conflicts in my calendar. Reclaim.ai is the only platform that can help me satisfy these use cases.”

If you have any questions on completing your purchase request, or answering tricky questions on the form, reach out to us via the live chat in the app or at [email protected] and we would be happy to help you make a strong case for your purchase.

Secure approval with your procurement team & complete a security review

If you're looking to secure approval for a larger rollout with your team or department, your organization will likely want to complete a more thorough analysis of Reclaim before authorizing the purchase.

Fortunately, we'll make this super easy for you. All you have to do is introduce us to your procurement team, and we will walk handle the entire review process from there.

Reclaim has SOC 2 Type II security approval, and has yet to fail even the most complex of security reviews, so have no concern that we won't be able to get this over the line for you.

Here's a draft email you can use to introduce us to your procurement team and kick off the review process:

Hi there,

I'd like to introduce you to the security team at Reclaim.ai ([email protected]). Reclaim is a productivity app that has already helped me save an average of 4 hours/week through better time management, and I would like to roll it out to my team/department of X people.

In order to get this over the line as fast as possible, I've included these resources to provide an overview of the company's security posture, and Reclaim is also happy to complete a security review. They are SOC 2 Type II certified, so I don't foresee any issues.

I'll let you take it from here to complete the review. Please let me know if there's anything you need from me, and how we're looking on timeline so I can coordinate the rollout with my team.

Thank you!
