Microsoft Outlook Beta Overview

Microsoft Outlook Calendar support is in beta 🚀 The beta is open for anyone! Add your Outlook account to your existing Reclaim account today. Or, if you don't have a Reclaim account yet, sign up with Outlook.

Reclaim.ai for Outlook Calendar

If you already have a Reclaim account, we encourage you to add Outlook Calendar to your existing account instead of signing up for a new account. You can do so today from your Calendars page in the app.

If you’re an existing user, Reclaim for Outlook Calendar works exactly as it does for Google Calendar – optimizing your schedule around your most important priorities and intelligently navigating around conflicts.

Outlook beta limitations

As Outlook support is still in beta, there are a few issues the team is aware of and actively working on. There are also a few minor features/settings that are still in the works. You can stay up to date on the status and timeline for those improvements here:

Connected Calendars

  • Recurring, All Day Events in GMT: a recurring, all day event where the event timezone is GMT will not show up in the Reclaim Planner due to an issue with the way that Microsoft oscillates the originalStart DateTimeOffset property across daylight savings time intervals. We're evaluating possible fixes for this.

Calendar Sync

  • Sync Window: any calendar sync policy that involves Microsoft will sync events out into the future as far as the Reclaim plan you've selected schedules, which is either 3 weeks (Free), 8 weeks (Starter), or 12 weeks (Business or Enterprise), including recurring events. This is different than our Google --> Google calendar sync and is by design.

  • Connected Calendar: a calendar sync that involves Microsoft as the source or the target must have the source calendar marked as a "Connected" calendar, otherwise events won't sync. This work is in progress and should be done by the end of May, 2025.

Hashtags

  • Microsoft doesn't support setting an RSVP note on events that you're invited to which also stays on your calendar, instead only sending that RSVP note to the organizer, which is different than Google Calendar. As result, while you can use the #needs_travel, #reclaim_free, and #reclaim_busy hashtags in the title or description of an event, using those in the RSVP note of a Microsoft event won't work. We're evaluating possible fixes for this.

Smart Habits & Meetings

  • Smart Meeting Attendee Notifications: Unlike Google, Microsoft doesn't make it possible selectively mute notifications about updates to calendar events, which impacts Reclaim as part of our value proposition is automatically and seamlessly moving your Smart Meetings around when conflicts are introduced. Organizers won't see these, but attendees may notice a lot of notifications about meetings being moved around. We're evaluating possible fixes for this.

  • Smart Meeting Schedule Visibility for non-Reclaim Attendees: Microsoft's API for getting the schedule of an attendee for a meeting doesn't return enough information for Reclaim to properly resolve it's own scheduled meetings, which can result in meetings constantly moving on the calendar. As a result, the current implementation of Smart Meetings on Microsoft Outlook with an attendee or attendees who are not Reclaim users, will not respect the busy blocks on attendees calendars. This work is in progress and should be done by the end of May, 2025.

  • Reclaim Smart Meeting Detection / Conversion: the ability to detect and convert your existing recurring 1:1's, group meetings, and habits is available via a feature flag. We're planning on adding support for this sometime this calendar year.

  • Reclaim Smart Meetings + Conference Rooms: we haven't yet added the ability to configure a smart meeting with an automatically detected conference room. You can still add the conference room manually as the organizer. This work is in progress and should be done by the middle of June, 2025.

Scheduling Links

  • Scheduling Links Availability for non-Reclaim attendees: Microsoft's API for getting the schedule of a non-Reclaim attendee for a scheduling link doesn't return enough information for Reclaim to properly resolve it's own scheduled meetings. As a result, the current implementation of Scheduling Links on Microsoft Outlook with an attendee or attendees who are not Reclaim users, may have slightly inaccurate free / buys information. We're evaluating possible fixes for this.

Settings

  • Color Coding of non-Reclaim events: to address / mitigate issues we're seeing with duplicate events, we've disabled Reclaim's ability to persist color / categorizations made by Reclaim back to your Outlook calendar. You will see color + categories in the Reclaim Planner view.

  • Color Coding of Reclaim events: Reclaim tasks, habits, and Smart Meetings all have an option of selecting a color for the calendar. We're currently mapping the set of colors we support to the best match on the Microsoft Outlook category / color combination, which in some cases may result in, for instance, the dark blue color in Reclaim being mapped to a custom category (example: "Baseball Games") on the Outlook side. This work is in progress and we hope to have it completed this calendar year.

  • Start Day of Week Detection: Unlike Google, Microsoft doesn't make it possible to get your preferred start day of the week using their API. We're going to introduce a Reclaim configuration for this setting for Microsoft users.

Tasks

  • Reminders: tasks that are scheduled on Google Calendar through Reclaim will inherit the default reminders configuration that the user has configured for the calendar. Tasks scheduled on Microsoft Outlook calendars through the Microsoft Graph API do not inherit the default reminders configuration (events created through the user interface do inherit the default), and Microsoft does not offer an API for for retrieving the default reminder configuration. We're going to introduce a Reclaim configuration for this setting for Microsoft users.

Integrations

  • Reclaim + Google Calendar Add On + Outlook Sync events: if you have the Reclaim Google Calendar Add On and a sync from Google to Microsoft, and click on a source event event, the Add On will report that the event isn't syncing as expected but it is. Clicking the Repair button will not fix anything.

  • Reclaim + Microsoft Teams Chat / Status: we have an existing integration with Slack for status, chat, and quick task / agenda actions, but haven't built the same for Microsoft Teams. We do support Microsoft Teams as a video conferencing provider for Smart Meetings and Scheduling Links. We're planning on adding support for this sometime this calendar year.

  • Reclaim + Microsoft Outlook Tasks: we have an existing integration with Google Tasks, but haven't built the same for Microsoft Outlook Tasks. We're planning on adding support for this sometime this calendar year.

Security

  • Reclaim + Service Accounts: we don't have support for Service Accounts for Microsoft. We're planning on adding support for this sometime this calendar year.

  • Reclaim + Microsoft Outlook Delegated / Shared Accounts: we don't yet have support for delegated or shared Outlook calendars. We're planning on adding support for this sometime this calendar year.

  • Reclaim + Hosted / On-Premise Exchange: users who have hosted / on-premise Exchange accounts will not be able to create accounts or add calendars using hosted / on-premise Exchange. We won't have support for this type of account for the foreseeable future.

Focus Time

  • Native Google Calendar focusTime type events are not yet supported on Reclaim accounts which use Outlook-enabled Reclaim accounts.

  • Fixed issue with calendar list. By default, the Microsoft Graph API to list calendars only returns the top 10 calendars and we hadn't implemented pagination for this. This is fixed.

If you used the Do Not Send a Response option when accepting an event, Reclaim would see your RSVP status as "needs action" instead of "accepted". This may still impact events that were responded to previously to September 17th. The workaround is to RSVP again and send a response to the meeting.

  • Fixed issue with Outlook events with legacy custom timezone failing to sync. For users using Microsoft Desktop and likely old recurring events, it sometimes creates events with the timezone set to "tzone://Microsoft/Custom", which caused sync to fail.

  • Addressed the Calendar Refresh / Authentication for Outlook.com / Hotmail.com issue. Microsoft uses different token refresh models for their personal / free Outlook.com / Hotmail.com accounts vs. the paid Office 365 accounts. We deployed a fix for this last week and believe that this is addressed / fixed.
