Use Reclaim's ClickUp integration to sync tasks between ClickUp and Reclaim.

Reclaim's ClickUp integration auto-syncs tasks created in ClickUp to your calendar as smart Tasks via Reclaim, so you actually have time defended to get work done before deadlines.

Requirements for the ClickUp integration

  • You must have a Reclaim account with a calendar connected.

  • You must have a ClickUp account.

  • You must have Tags, Time Estimates, and Time Tracking ClickApps enabled.

Set up the ClickUp integration

  1. Click Connect ClickUp on the ClickUp integration card.

  2. Select the Workspaces to sync tasks to Reclaim. You can connect multiple workspaces as long as the same email is used for them.

  3. Click Connect Workspace to allow Reclaim access to those workspaces.

  4. You'll be redirected back to the ClickUp integration's settings page in Reclaim.

ClickApps requirements

Reclaim requires several ClickApps to be enabled in order for ClickUp tasks to be scheduled via the integration.

ClickUp allows the enabling/disabling of ‘ClickApps'. To successfully auto-schedule tasks via the Reclaim integration, you need to ensure these ClickApps are enabled:

  • Tags

  • Time Estimates

  • Time Tracking

Enable required ClickApps

  1. Click your Workspace avatar from your ClickUp dashboard.

  2. Select Apps > ClickApps.

  3. Search for Tags, Time Estimates, and Time Tracking, and toggle the ClickApp on.

Note: Some ClickApps add functionality which Reclaim does not support yet. In particular, ClickUp Spaces are often configured to support multiple assignees on one task. Reclaim will not sync tasks with multiple assignees attached to it.

Syncing your ClickUp tasks

When creating new items in ClickUp, Reclaim requires three details to get your tasks successfully auto-scheduled on your calendar with the integration.

ClickUp task requirements:

  • ClickUp tasks must have an assignee. The task must be assigned to a user (generally yourself) who has the Reclaim integration enabled for Reclaim to know whose Reclaim account (and calendar) to use. Currently, multiple assignees are not supported so your task may only have one assignee.

  • Tasks must have an end date unless otherwise specified by you below. The task must have an end date set before it will sync with Reclaim. This will be the due date in Reclaim. You can optionally supply a start date as well to fine-tune the scheduling window.

  • Tasks must have a time estimate. The time must have a time estimate populated so Reclaim can know how much time to schedule.

Without these required fields, ClickUp tasks will not be synced via Reclaim, even if they match your sync rules.

Creating ClickUp sync rules for Reclaim

The ClickUp integration settings page allows you to manage sync rules on how you want Reclaim to schedule your ClickUp items.

Reclaim uses simple sync rules to organize which ClickUp items you want to sync to your calendar. Each rule is built upon conditions like your ClickUp Spaces, Tags, and Scheduling Hours.

Order

Stack-rank your sync rules to tell Reclaim which rules you want to prioritize if a conflict arises. Drag-and-drop to sort the order.

Spaces

Select which of your ClickUp spaces you want to sync items from by checking them in the drop down list. You can select all spaces, some spaces, or no spaces.

Tag

Reclaim creates two default labels upon installation of the integration:

  • reclaim : tasks that schedule during your Working Hours

  • reclaim_personal : tasks that schedule during your Personal Hours

You can delete these Reclaim tags once the integration is installed and/or select from your own ClickUp tags to sync items with that tag. You can also sync from spaces without requiring tags.

  • Don't sync: Don't sync items that meet this rule's conditions.

Hours

Set the hours during which you want Reclaim to schedule ClickUp items that meet the rule's conditions. You can select between your Working, Personal, or Custom Hours that you've created. Learn more about syncing your ClickUp items to your different Scheduling Hours in this help doc.

Reclaim will then automatically sync Reclaim items to your calendar when they meet the conditions of your rules. Changes to the above integration settings auto-save.

Include Tasks without due dates

The ClickUp integration allows you to sync tasks without due dates on a per-rule basis. That means that for some of your rules, you can opt to require due dates, and for others, you can make them optional.

  • If you check Include Tasks without due dates, then any task matching that rule will be synced to Reclaim whether it has a due date or not.

  • If you do not check Include Tasks without due dates, then a due date is required for a task to be synced from ClickUp using that rule.

Sync ClickUp tasks to your calendar

Reclaim will automatically sync ClickUp items to your calendar when they meet the conditions of your sync rules and include the required fields (assignee, end date, time estimate).

Changes made to synced ClickUp tasks - from both Reclaim or ClickUp - will be automatically updated across both platforms.

If you change the title and/or Priority of the task in Reclaim, it will not sync over to ClickUp. You will need to do this within ClickUp.

All other fields will update and sync from Reclaim to ClickUp and vice versa.

How Reclaim prioritizes synced ClickUp tasks

Tasks synced via Reclaim's ClickUp integration will automatically honor the priority levels in Reclaim to the priority you marked the task as in ClickUp.

You can change the priority level of a synced task in Reclaim to adjust how the event is scheduled by Reclaim – but this will not update the priority in ClickUp. If you want to update the priority of a synced task in the platform it was created in, you must do so from the source event in the app.

How Reclaim Tasks display in synced ClickUp tasks

When Reclaim syncs a ClickUp task, it adds a comment to the task with a link to the Reclaim Task and the date/time for the associated calendar event. As time burns down in Reclaim for that task, the comment text is updated to reflect that progress, as well as to indicate whether the task is at risk based on the due date you may have selected in ClickUp.

Any item that has been synced as a Task in Reclaim will look like this in ClickUp:

In the Reclaim Planner, as well as on your Google or Outlook Calendar (Outlook support in early beta) the automatically scheduled Task will be named Project: Task title and include a link to the ClickUp task in the event description.

Complete and incomplete tasks in ClickUp

A Reclaim task must be marked Done in order for a ClickUp task to be marked as complete. Refer to this doc for details on what happens when a task is Marked done.

A ClickUp task must be marked as Complete in order for the task in Reclaim to be marked as Done. If a ClickUp task is marked Done, the task in Reclaim will be considered still as incomplete.

When rescheduling a Task Event or adding time to a Task Policy, the ClickUp task will be automatically un-completed and will show back up in the ClickUp space as an incomplete task.

Disconnecting the ClickUp integration

To disconnect the ClickUp integration from Reclaim, head over to your ClickUp integration settings. Scroll to the bottom of the page and select Disconnect.
