Color-coding helps you organize your calendar visually so you can quickly understand how your time is being spent.
Color-coding is managed through an Essentials Agent. You can choose colors for common event categories, create more specific rules for how events should be colored, and override those rules for individual Agents when needed.
Set up color-coding
Open the color-coding Agent under Essentials in your Agents list, or, if it's not set up yet, click +Add and navigate to Essentials > Color coding Agent to add.
Select the calendar you want to manage color-coding for.
Review the existing category rules.
Choose the color you want to apply to each category.
Default color-coding categories include:
External Meetings
One-on-Ones
All Meetings
Travel & Breaks
Personal events
Advanced color-coding settings
Optionally, you can add more granular rules when you want more control over which events receive a particular color by clicking Edit rules > + Add rule. Choose the event color you want to apply, then add filters to define which events should match.
You can filter using options such as:
Presets
Fields
Attendee options
Category
Calendar
Events
Group
You can combine filters to create more specific rules based on the kinds of events you want to identify.
For example, you might use different colors for customer meetings, recruiting interviews, internal team meetings, or events from a specific calendar.
You can edit, add, or remove rules based on how you want your calendar organized.
Set custom colors for specific Agents
You can also set a custom color for events created by a specific Agent.
From your Agents list:
Select the Agent you want to customize.
Click Edit event.
Choose a custom event color.
The color you choose for that Agent will override your default color-coding rules for those events.
This is useful when you want events from a particular Habit, Smart Meeting, Focus Time Agent, or other Agent to always stand out with their own color.
Note: If you set a specific color on an event or event series in Google Calendar (outside of your primary calendar color), this setting will override any color-coding settings in Reclaim.
Update your color-coding rules
You can return to the color-coding Agent at any time to change category colors, edit your rules, or add new ones as your calendar workflow changes.
Because color-coding is managed per calendar, make sure you’re editing the calendar you want the rules to apply to.
