What is an agent?
An agent is a standing instruction about your calendar that Reclaim carries out in the background. You describe what you want and the rules the Agent should follow, and the agent then creates, moves, protects, or flags time as your week changes.
Agents are where nearly all of Reclaim's automation lives.
The kinds of agents
Agent | What it does |
Habits | Protects flexible time for a recurring routine: lunch, weekly planning, an end-of-day catch-up |
Focus Time | Schedules deep work time toward a daily or weekly goal |
Defend Meeting Overload | Caps how much of your time goes into meetings, and defends what's left |
Buffers | Creates time for prep, travel, or decompression time around specific kinds of events or meetings |
Smart Meetings | Reschedules internal recurring meetings (like 1:1's) to the next best time for everyone when they need to move |
Meeting Quality | Inspects your meetings and flags problems like missing videoconferencing links or missing RSVPs |
Creating an agent
You can create an agent from a template in the Agent Library, by clicking Add at the top of your Agents list, or from the persistent Create button in the top navigation. You can also ask the chat assistant to set one up for you. (Example: "Create a daily routine for 15 min at 9AM called Email Catch-up")
The Agent library has a left-hand navigation — My Agents, then templates grouped by type: Habits, Buffers, Focus, Smart Meetings, and Meeting Quality — so you can browse by the kind of agent you want. Templates you've already added show an Added badge.
Creating or editing an agent puts you into Preview Mode first, so you can see what it would do to your calendar before anything is applied. You can change fine tune or remove an agent at any time!
How an agent is put together
Every agent has the same three parts, whatever its type. Once you've set up one agent, the rest will feel familiar.
1. Agent name
What this agent is called in your list. most are fairly self-explanatory, but for something like Buffers, you may choose to have several nuanced variations on Meeting Prep Buffers, so a descriptive name is recommended for knowing which is which. (Example: 'External Meeting Prep' vs 'Meeting with my Boss' prep)
2. Event settings
What the ideal event would look like on your calendar:
Title: what appears on your calendar, both title & emoji if you chose to add one
Ideal time & Duration: when you'd most like it to happen, for example lunch at 12:00 for 1 hour
Busy or free: whether the time shows as available to other people
Visibility: how do other see this event on your calendar? Event details or Busy
Reminders: configurable per event, and you can turn them off entirely
Priority: Tells Reclaim where to schedule this relative to other Agents & events on your calendar
3. Agent rules
The rules are the guidance you give Reclaim about to handle reschedules when reschedules are needed. The rules define how much or how little latitude Reclaim has to move the event. A wider window means Reclaim is more likely to find you the time. Agents rules differ across the types of Agents.
Your Agents list
All your agents live in one place, grouped by priority level with Critical at the top, followed by High, Medium, and Low.
The order of Agents is VERY important, especially when they have the same priority. The order of the Agent list tells Reclaim what to schedule first.
EXAMPLE: If a Critical 🍱 Lunch Habit is listed before a Critical Strategic Planning agent. Reclaim will schedule Lunch before 📊 Strategic Planning.
From the list you can:
Filter by type to show only your Habits, Buffers, Focus, or Smart Meetings
See and change each agent's priority by dragging and dropping them using the left tab
Edit or remove an agent
Disable an agent to stop it scheduling without losing its setup
