How to use Priorities to control Smart 1:1s

Priorities are a great way to make sure your most important Smart 1:1s get scheduled more urgently. Here's how to use them.

Reclaim allows you to set universal Priorities for all your events, so your limited time is always dedicated to the things that matter most. Prioritizing your Smart 1:1s ensures that you always have time for your important meetings, around everything else you have going on during the week.

Here's how you can leverage Priorities for your Smart 1:1s.

Priorities for Smart 1:1s

You can set the priority level for your Smart 1:1s from Critical (P1) to Low priority (P4).

Priority levels for Smart 1:1s:

  • Critical (P1): Reclaim will schedule Critical Smart 1:1s before lower-priority Smart 1:1s. These can also overbook lower-priority Smart 1:1s, Tasks, and Habits as your calendar books up.

  • High priority (P2): High priority Smart 1:1s will be prioritized before Medium and Low priority Reclaim events, and can be overbooked by Critical events.

  • Medium priority (P3): Medium priority Tasks will be prioritized before Low priority Reclaim events, and can be overbooked by Medium - Critical priority events.

  • Low priority (P4): Low priority Tasks will be prioritized last, around your availability, and can be overbooked by your higher-priority items.

Note: Smart 1:1s will never overbook Scheduling Link meetings or non-Reclaim created event – even if that Smart 1:1 is a higher priority level.

How Reclaim prioritizes Smart 1:1s

Reclaim will auto-schedule your Smart 1:1s according to the priority level you set, you and your attendees availability to meet, and the scheduling preferences you set for the 1:1 like frequency, duration, and Scheduling Hours (learn about creating Smart 1:1s in the overview doc).

Your Smart 1:1s will schedule before lower-priority events on your calendar. For example, Critical Smart 1:1s will schedule before high priority, medium priority, and low priority Smart 1:1s, as well as lower-priority Habits and Tasks. This ensures that you can make time for your important 1:1s as your calendar books up.

If your smart events have the same priority level, Reclaim will prioritize scheduling your Smart 1:1s first, Habits second, and Tasks third based on your availability.

How to prioritize your Smart 1:1s

You can set the priority level for your Smart 1:1s in a few different ways:

  • Creating new Smart 1:1s: Set the priority when creating a new Smart 1:1 from the 'Priority' dropdown on the create form.

  • Smart 1:1s page: Click the 'bar' icon 📶 on your existing Smart 1:1 meetings from the Smart 1:1s page in Reclaim to edit the priority level.

  • Planner: Open the 'Priorities' tab in the right-hand sidebar of the Planner. Click the 'bar' icon 📶 on a Smart 1:1 to edit the priority level.

  • Priorities page: Click the 'bar' icon 📶 on a Smart 1:1 to update the priority, or drag-and-drop your meetings to a new priority level from the Priorities page.

By default, all new Smart 1:1s will be set to High Priority (P2).

Currently, only the Smart 1:1 organizer can set the priority level for meetings. The invitees’ Smart 1:1 will schedule as a P1 event, even if the organizer sets it as a lower priority for themselves.
